Armpit Booking Guidance notes

Armpit Booking / Armpit Booking Guidance notes
Armpit Booking Guidance notes: v2 Sept 2026

  1. This is the person to whom all correspondence about the booking will be made – missing information, clarity on certain points etc.  It is important this person is contactable between the time the form is submitted and the time of the event.  If the committee has any queries on the booking but contact cannot made, the booking is likely to be refused.  (If more than one person needs to be listed as the contact, please list the alternative contact details in “Additional information”.)
  2. Bookings can be made for the following days/times:
  3. Tuesday 6.00pm to 11.00pm
    Wednesday  12.00 noon to 3.00pm, 5.00pm to 11.00pm
    Thursday 12.00 noon to 3.00pm, 5.00pm to 11.00pm
    Friday 12.00 noon to 3.00pm
    Saturday 12.00 noon to 5.00pm
    Sunday 12.00 noon to 11.00pm
  4. Toilet facilities will be available only when the pub is open.   This typically means no toilets before 12 noon, nor between 3pm and 6pm.   You need to factor this into any booking you make.  The pub toilets cannot be opened especially for your event.
  5. Definitions of the type of event are as follows:
  • Full commercial:  This is where the applicant is running an event that aims to achieve financial income for the applicant, with no sharing of profits or donations to any other party.  The applicant is responsible for arranging their own publicity, selling of tickets, collection of up front or on the door payments, including for goods purchased and so on.
  • Partial commercial:  Similar to the above but the applicant will donate some of the income to another non-commercial party, such as a charity or the Friends of the Brewers Arms.  In such a case, the applicant must describe the income sharing arrangements in the Additional Information e.g. percentage of profits, percentage of turnover or fixed monetary amount.
  • Private:  Examples here are the likes of a birthday party or a wake.  There is no commercial aspect at all.  At the tenants’ discretion, applicants may be permitted to serve food other than that offered by the tenants.  The expectation is that all drink will be purchased from the pub.
  • Charity:  All proceeds of the event will be donated a registered charity.  (The name of the charity must be supplied in the Additional Information.)
  • Community:  These are events that be proposed through the Friends of the Brewers and agreed by the tenants, or independently, and are subject to the same booking processes.  Any proceeds go to the pub, the Friends of the Brewers, an agreed registered charity or a good cause agreed by the Friends.
  1. A recurring event must be at exactly the same times on the stated recurrence pattern, for example, every Wednesday between 2pm and 3pm.  If you want an event every week, but to alternate between a Wednesday and a Thursday, that requires a second booking form to be completed (i.e. one form for the Wednesdays, at fortnightly intervals, and another for the Thursdays, again at fortnightly intervals.)
  2. A standalone event is one in which the applicant is doing everything for themselves and no other party is involved.  Even if other parties are involved, if they are operating entirely within the umbrella of the applicant, it is still a standalone event, so tick Yes.  It is expected that the vast majority of events will be standalone.  The No answer is needed if there are other parties who can/will be operating independently, especially if they are different ‘types’ of event (see note 4).  In such cases, the main event organiser should tick No for standalone and the other parties should complete their own booking form.  (The other parties will typically say Yes to standalone.)
  3. The maximum occupancy of the Armpit is around 30 people but it does vary depending on the nature of the event.  See the “Armpit protocol for applicants” for full details.
  4. Use this box for any other information that is asked for, or which you want to volunteer in order to support your booking/event.
